Terms & Conditions –Alphen House

Physiotherapy, Pilates & Aqua Class Bookings

1. Introduction

Welcome to Alphen House Physiotherapy. These Terms & Conditions apply to all physiotherapy treatments, Pilates sessions, and aqua classes booked through our website or directly with the practice.

By making a booking, you agree to the terms outlined below.

2. Appointments & Class Bookings

  • Bookings may be made online or through the practice.
  • All sessions are subject to availability.
  • A confirmation will be sent once your booking is successful.
  • Please ensure all personal and relevant medical information is accurate.

3. Cancellation & Rescheduling Policy

Physiotherapy Appointments

  • A minimum of 24 hours’ notice is required.
  • Late cancellations or missed appointments may be charged in full.

Pilates & Aqua Classes

  • A minimum of 12 hours’ notice is required to cancel or reschedule.
  • Late cancellations or no-shows will result in the session being forfeited.
  • This applies to both single bookings and class packs.

4. Class Packs & Memberships (if applicable)

  • Class packs are non-refundable and non-transferable.
  • Sessions must be used within the specified validity period.
  • Expired sessions will not be reinstated unless otherwise agreed.

5. Late Arrivals

  • Late arrival to any session may result in reduced session time.
  • Entry to group classes may be refused if late, to avoid disruption.
  • Missed time will not be refunded or credited.

6. Fees & Payment

  • Payment is due at the time of booking or appointment unless otherwise arranged.
  • Physiotherapy sessions may be claimed from medical aid; however, patients remain responsible for any shortfalls.
  • Class sessions require valid credits or upfront payment.

Online Payments (PayGate)

  • Online payments are securely processed via PayGate.
  • By making a payment, you agree to comply with PayGate’s terms and conditions.
  • The practice does not store or have access to your card details.
  • In the event of a failed or declined transaction, the booking will not be confirmed.

7. Refunds

  • Refunds are not provided for missed appointments or late cancellations.
  • Approved refunds (if applicable) will be processed via the original payment method.
  • Transaction fees charged by payment providers may be non-refundable.

8. Health & Participation

By attending any session (physiotherapy, Pilates, or aqua):

  • You confirm that you are physically able to participate.
  • You agree to inform the practitioner/instructor of any injuries, conditions, or changes in health.
  • Participation is at your own risk.

9. Consent to Treatment & Exercise

  • You consent to physiotherapy assessment and treatment where applicable.
  • You acknowledge that Pilates and aqua classes involve physical activity that may carry risk.
  • You may stop participation at any time if discomfort or pain occurs.

10. Liability

  • The practice and its practitioners/instructors are not liable for injuries sustained during sessions, except in cases of proven negligence.
  • Clients participate in all classes and treatments at their own risk.

11. Privacy & Confidentiality

We comply with the Protection of Personal Information Act (POPIA):

  • Personal information is kept confidential and used only for treatment and administrative purposes.
  • Information will not be shared without consent unless legally required.

12. Website & Booking System

  • Online bookings are provided for convenience and may occasionally be subject to technical issues.
  • The practice reserves the right to amend or cancel bookings if necessary.

13. Amendments

These Terms & Conditions may be updated at any time. The latest version will always be available on our website.
